Overview

Provides leadership and direct supervision to assigned clinical support staff, ensuring the timely, accurate, and patient-centered completion of all administrative and operational duties. Oversees daily clinic operations with a strong focus on enhancing patient access, experience, and workflow efficiency.

Responsibilities

  1. Supervises and manages the performance of administrative and support staff, fostering a high-performing, patient-focused team environment.

  2. Ensures adherence to established office standards, clinical protocols, and regulatory compliance requirements.

  3. Oversees daily front-line operations to support timely patient scheduling, registration, check-in/out, and communication.

  4. Standardizes office procedures and leads the development and implementation of policy and workflow enhancements to support quality patient care.

  5. Manages departmental operations including documentation, records management, reporting, and regulatory readiness.

  6. Plans and optimizes clinic layout and resource allocation to ensure efficient use of space, personnel, equipment, and supplies.

  7. Conducts recruitment, interviews, and onboarding of new staff; provides comprehensive orientation and ongoing training to support team success.

  8. Evaluates staff performance and coaches team members for growth and accountability, including performance management up to termination if needed.

  9. Leads or supports quality improvement initiatives that enhance clinic operations, patient access, and service delivery.

  10. Analyzes operational workflows to ensure optimal staffing, reduce wait times, and improve patient throughput.

  11. Develops and maintains procedures that support high-quality healthcare delivery and positive patient relations.

  12. Coordinates provider schedules and on-call assignments to ensure adequate coverage and continuity of care.

  13. Serves as a key resource in operational planning and implementation of process improvements to drive clinic efficiency.

  14. Performs additional responsibilities as assigned to support overall departmental goals and patient access strategies.

Qualifications




  • Associates degree with 3 years of secretarial experience or equivalent required.


  • Proven leadership and organization skills desired.
