Overview

The Hospital Medicine Program Coordinator plays a critical role in managing and optimizing scheduling and personnel functions within the section of Hospital Medicine. This role is key in ensuring efficient scheduling of providers, ensuring complete coverage of daily shifts, maintaining accurate reporting for schedule reconciliation, and facilitating accurate provider profile creation across multiple sections. The coordinator will collaborate closely with the Section Chief and Practice Manager to understand and address the unique scheduling needs of a hospital medicine practice. In addition, the coordinator will provide administrative support to the section, as needed

Responsibilities

  1. Assist in creating, managing and updating clinical schedules for providers using the Qgenda scheduling software.
  2. Coordinate with providers to address scheduling needs, preferences and conflicts.
  3. Ensure timely communication of schedule changes and updates to all relevant parties.
  4. Work closely with physicians and APPs to understand and address scheduling needs and preferences.
  5. Assist with other downstream functions that stem from the hiring, personnel management and completed shifts
  6. Ensure data integrity, accuracy, and confidentiality within the Qgenda system, adhering to healthcare regulations and standards.
  7. Generate and analyze a variety of reports to assist in operational decisions, budget development, reconciliations and operational efficiency.
  8. Create and interpret financial and HR data to have operational success for the section
  9. Coordinate with Qgenda support and DHH IT department for technical issues and system enhancements.
  10. Provide administrative support and cross-coverage to the senior administrative assistant.
  11. At the direction of the practice manager, support the planning and implementation of sectional projects and initiatives.
  12. Performs other duties as required or assigned.

Qualifications




  • Bachelor's degree in Healthcare Administration, Information Technology, or related field.


  • Minimum of 2 years of experience working with Qgenda or similar scheduling software in a healthcare setting.


  • Familiarity with hospital medicine operations and scheduling challenges preferred.


  • Strong communication skills, with the ability to support end user.


  • Proficient in data analysis and reporting.


  • Ability to maintain confidentiality and adhere to HIPAA regulations


  • Prior experience with inpatient physician practices or a related healthcare field.


  • Knowledge of database systems - programming and reporting preferred.


  • Advanced problem-solving and analytical skills preferred.
