Overview

Works closely with the Chair and the administrative assistant to the Chair to ensure the smooth operation of the Department of Psychiatry faculty affairs. This includes coordinating faculty recruiting and coordination of searches/offers, academic appointments and renewals, clinical privileges, faculty data and academic promotions.

Responsibilities

  1. Works closely with HR on all faculty searches and new hires. Tracks all faculty searches, prepares offer letters and follows all appointment activity.
  2. Works closely with administrative partners in all sections within the department to ensure that current faculty data is up to date and accurate for all faculty members.
  3. Continually updates and maintains faculty database.
  4. Works closely with the Geisel School of Medicine, the VA Medical Center, New Hampshire Hospital, Hampstead Hospital, additional contract sites, MHMH and DHMC representatives to ensure that all faculty are privileged, credentialed and have current appointments.
  5. Collaborates with representatives in the southern region of NH, affiliate facilities, contract facilities, and research teams to accurately account for all faculty.
  6. Process offer letters, privilege templates and observation requests.
  7. Coordinate the faculty promotion process through the support of committee meetings and assistance with letter preparations, communications, and tracking.
  8. Performs other duties as required or assigned.

Qualifications




  • Associate’s degree with 3 years of experience (at least 2 of which are supporting an executive or comparable level position), or the equivalent in education and experience required.


  • Bachelor’s degree preferred.


  • Proficiency in Microsoft Office Suite, FileMaker Pro and most social media platforms required.


  • Exceptional written and verbal communication skills required.


  • Exceptional proofreading skills required.


  • Ability to work independently, assess priorities and organize workload required.


  • Must have the ability to take initiative, but also coordinate in a team.


  • Must have ability to recognize, set and fulfill high standards and have strong attention to detail.
