Overview

Supports their direct report through a variety of tasks including, but not limited to, managing schedules, drafting correspondence, and maintaining files.

Responsibilities

  1. Manages meeting schedules.
  2. Manages and completes multiple priorities by the established deadline. Screens and assesses relative priorities of correspondence, inquiries and projects; organizes systems of tracking tasks. Organizes systems of distribution and review of these items in order to ensure proper handling, including support for Board of Trustees’ committees.
  3. Drafts documents based on templates.
  4. Maintains both electronic and hard copy files and manuals.
  5. Composes drafts and answers routine correspondence. Completes special studies, and/or finishes documents independently.
  6. Prepares and distributes meeting notices, agendas, and reports.
  7. Gathers, investigates and analyzes specific issues as requested and provides the appropriate individuals with background information; suggests solutions.
  8. Researches, schedules and makes arrangements for special meetings, conferences.
  9. Devises and maintains consistent administrative office procedures and systems including filing systems, scheduling, drafting and document processing systems, and distribution/routing systems.
  10. Explores opportunities for improving the work and systems of the office, implements and seeks consultation as needed.
  11. Directs people and inquiries for appropriate response.
  12. Facilitates the use of new and existing data/telecommunications technology to enhance time management.
  13. Works in a team environment to handle phone coverage and other coverage for team members.
  14. Performs other duties as required or assigned.

Qualifications




  • Associate’s degree with 5 years of experience (at least 2 of which are supporting an executive or comparable level position) or the equivalent in education and experience required.


  • Bachelor’s degree preferred.


  • Word Processing, Microsoft Office, and excellent written and verbal communication skills required.


  • The ability to work independently, assess priorities and organize tremendous workload under stress with grace, attention to detail and calm required.
