Overview

This position has the potential to be partially remote one day a week.

Provides administrative support for the delivery of system, administrative, and operational priorities of the Orthopaedics Service Line.  Acts as the primary administrative support for departmental leaders including but not limited to Section Chiefs, Vice Chairs, and Medical and Program Directors.  Collaborates with a team and as a resource for Department leaders to establish and maintain administrative functions aligned with the strategic goals of the department.  

Responsibilities

  1. Provides administrative and calendar support for department leaders potentially including but not limited to Section Chiefs, Vice Chairs, and Medical and Program Directors.
  2. Assists in coordinating faculty searches/offers, new faculty appointments, faculty reappointments, requests for clinical privileges, and faculty promotions.
  3. Organizes the data collection and scheduling needs to support the annual faculty review process.
  4. Works closely with administrative partners to ensure that current faculty data is up to date and accurate for all faculty members in internal records, including leadership term dates, CV management, etc.
  5. Assists and collaborates with others to ensure the Orthopaedic intranet and internet sites remain up-to-date, intuitive, and relevant.
  6. Assists with recruiting and organizing the Fellowship and Geisel/external medical student programs as required.
  7. Supports the planning, development, implementation and maintenance of policies, procedures, and process improvements which support clinical and non-clinical improvement efforts.
  8. Collects and analyzes data as needed, and produces accurate and timely metric reporting to support strategic goals and project improvement initiatives.
  9. Coordinates cross-project activities and departmental events.
  10. Completes office administrative tasks to support departmental leaders, such as ordering and managing supplies and repairs.
  11. Performs other duties as required or assigned.

Qualifications

  • Associate’s degree with 3 years of experience (at least 2 of which are supporting an executive or comparable level position), or the equivalent in education and experience required.
  • Bachelor’s degree preferred.
  • Proficiency in Microsoft Office Suite, FileMaker Pro and most social media platforms required.
  • Exceptional written and verbal communication skills required.
  • Exceptional proofreading skills required.
  • Ability to work independently, assess priorities and organize workload required.
  • Must have the ability to take initiative, but also coordinate in a team.
  • Must have ability to recognize, set and fulfill high standards and have strong attention to detail.
